At Travel Pilot, your privacy matters to us. When you use our services, you are placing your trust in us to ensure the privacy of your personal data and we are committed to protecting it.

We want you to understand our Privacy Policy and what it means to you, our customer, so please take a moment to review this Privacy Policy (referred to as “Policy”).

If you enquire or book on behalf of others, you are responsible for ensuring that the others are aware of the content of this Privacy Policy and are in agreement with you supplying their personal data. By submitting your data while registering, enquiring or making a booking, you agree to the transfer, storage and processing of this data as necessary. We will take all reasonable steps necessary to ensure your data is treated securely and in accordance with this Privacy Policy, however, if you do not agree with this policy, you should not use our websites.

Information we collect

Generally, the type of personal information we collect about you is the information that is needed to facilitate your travel arrangements and bookings and to arrange travel related services and/or products on your behalf. We also collect referral information which are linked to our affiliate program.

Travel Pilot commits itself to request only the personal data that are necessary to achieve its purpose. As a result, we may collect and process the following information about you:

• name, first name, email, telephone, address;
• nationality, date of birth, place of birth, gender, the type of your travel document (e.g. passport or ID number), the issue date and the expiry date, the country of issue of your travel document;
• information about other passengers in your booking such as first name, name, nationality and age;
• information about your transaction, including your payment details;
• information regarding your flight(s)
• your communication with us (for example your emails, letters, calls or your messages on any of our platforms);
• your messages on social media directed at Travel Pilot;
• your feedback;
• your preferred departure locations;
• if you need special help or if you have specific dietary requirements;
• information about your health, if you have a medical condition that may affect your travels;
• sensitive personal information: during the provision of services to the customer we may need information regarding your race or ethnic origin, physical or mental health and your religious beliefs. Such information is considered as sensitive personal data. We will collect this kind of information if you have explicitly given your permission, when this information is necessary for reasons of general interest or if you have knowingly disclosed this information.

Sensitive personal data can be collected in the following circumstances:

1. if you have a specific medical condition, you must inform us about it and, if necessary, provide a medical certificate for your own safety
2. if you request special assistance during your stay, for example if you need a wheelchair
3. if you notify us of specific dietary requirements, this may refer to specific religious beliefs
4. when you provide us your travel document, your racial or ethnic origin can be deduced on the basis of your nationality

By sharing sensitive personal information with us, you explicitly agree that we are allowed to collect and use this information in accordance with this Privacy Policy, so that we can provide our services. If you do not allow us to process sensitive personal data, this can have as a consequence that we cannot provide the services you have requested or that we can only partially provide the services. Please note that in such circumstances you are not entitled to reclaim any payment.

Personal data we collect from third parties

We collect personal data from third parties who you have authorised to provide your personal data to us (for example, this may be your travel agent, affiliate or another person making a booking on your behalf, your travel companion, your travel coordinator, our promotion partners, social media and other websites). We also collect personal data from individuals who may refer you as a friend or client to our products or services.

Personal data we collect when you are making a payment

We may collect different personal data depending on your payment method (such as credit card, bank transfer, cash). For example, for credit card payments we may collect the credit card holder name, address, card number, expiry date and CVC code.

Personal data we collect automatically

When you use our services, we automatically collect certain information, including personal data, concerning the services you use and the way you use them.
This includes:

• Geo-location data, about your approximate location, as determined through data such as your IP address;
• Usage and log data, such as the date and time you accessed our services, the duration of your session, data about clicks, the internet browser you use and which pages have been shown to you;
• Data about your computer’s operating system, like application versions and language settings;
• If you're using a mobile device, we might also collect data about the type of device you are using and data such as the mobile network your device is using to access our services.
• The website or referral that you came from.

Changes to this policy

We reserve the right to modify this Privacy Policy at any time in accordance with this provision and in our sole discretion. If we make changes to this Privacy Policy, we will post the revised Privacy Policy on our websites and update the “Last Updated” date noted with this Privacy Policy. Once made available on our websites, your continued access or use of our services will constitute your acceptance of the revised Privacy Policy.
